Keep Important Office Documents Safe

In todays world, no one is safe from the prospect of theft. One of the primary targets for thieves is personal information like bank accounts, social insurance numbers and birthdays. With this data it is easy for thieves to steal an identity. Likewise, any company that generates new products or ideas needs to take steps to keep their information safe from their competition.

Take a step towards protecting yourself by placing a password on your documents. This will stop anyone from accessing them illegally. Adding a password to a document is pretty easy, and once you know how you just have to remember to add a password to every sensitive document you own to make them safe.

If you have MS Office 2007 it is simple to password protect any document you have by doing the following:

In the top left-hand corner select the Office Button Mouse over Prepare, then choose Encrypt Document Type in your password and click Save

MS Office 2007 makes it very easy to password protect your documents through a few simple steps:

Go to File | Save As Select Tools | General Options at the top of the screen The Save Options screen will come up Enter a password and click OK Re-enter your password(s), then click OK when done Save the file

To make sure that you can always access your important files you may need to write down your password somewhere safe, otherwise you may not be able to access a file when you need to.

Now that your files are protected from the wrong sort of people, you will need to take measures to protect the files themselves. After going through all that trouble to keep your important files safe the least you should do is make sure that in case of a power surge or a computer failure that you can still access your files.

There are a few options when it comes to backing-up your files:

1) On CD-ROM: Make use of your CD-ROM drive by using it to make a copy of your files on a regular basis. Keep the CD safe, somewhere no one can find it and away from your computer should there be a fire. You will have to set up a reminder for yourself to copy the files regularly.

2) Flash Drive: for a few dollars you can pick up a flash drive that is big enough to keep a copy of any files you may need. Best of all a flash drive is compact and can go anywhere you go, or squirreled away safely where someone cant find it.

3) Off Site Storage: this is a simple way to keep copies of your files somewhere safe and secure. Simply copy them to a secure folder and be on your way. Most companies will charge a minimal monthly fee for this service, which is worth it knowing that your files will never get lost in a fire or flood should something happen at home or the office.
